Orange Moon Night Monitor Field Guide

📍 ARRIVAL & START

When you arrive:

✔ Mark Arrived immediately
✔ Begin Pre-Check
✔ Do NOT wait for the group 


⏱️ Do not wait more than 15–30 minutes to begin reporting

📶 IF YOU CANNOT MARK “ARRIVED”

✔ Check Location Services
✔ Ensure browser location is Allowed
✔ Refresh page 



Common Problem (Important) 

If you've selected:
👉 “Don’t Allow” previously


The browser will NOT ask again

That’s why you must go into:

  • phone settings 
  • OR browser lock icon

Learn How to Enable Location Access (Required for Check-In & Pre-Check)

🚗 PARKING

Always ask for:


✔ Free or validated parking


If not:


✔ Pay (if able)
✔ Submit receipt via email

If unable to pay:
👉 Contact Admin for credit-card authorization

🚫 IF GROUP/TOUR DIRECTOR IS NOT ON LOCATION

Do this:

  • Notify Admin immediately
  • Ask front desk:
     
    • Have you seen the group?
    •  Have you seen the Tour Director?
       
  • DO NOT LEAVE the property
     

👉 You are still assigned and being paid to cover the location



📝 What to Put in Reports

  • “Group not arrived – waiting” 
  • “No Tour Director on site” 
  • “Checked with front desk – no update”
     

✔ Continue submitting 30-minute reports


 

📝 Pre-Check

If info is missing:

  • Enter what you can
  • Add notes
  • Update later OR include details in first report

⏰ IF STUDENTS ARE NOT IN ROOMS (EXTENDED CURFEW)

Your shift does not begin fully until students are in rooms.


📝 Report:

  • “Waiting for curfew” 
  • “Students not yet in rooms” 
  • “Students out after curfew”

🔊 NOISE / STUDENT ISSUES

Step 1:

Ask students to correct behavior / return to room / lower noise


Step 2:

Emergency Contact


Step 3:

If it continues:

  • Give one additional notice
     

After that:

✔ Stop going back and forth
✔ Document everything in reports

🚪 STUDENTS LEAVING ROOM (FOOD / DOORDASH)

Students should remain inside rooms; however, if insisted by chaperones:

  • We do not escort, the group chaperone would need to escort the students. 
  • If student is allowed by the group chaperone to go alone, we will insist upon a buddy to travel with the student.


✔ Allow reasonable time


If gone longer than 10 minutes:

  • Check hallway / lobby 
  • Document in report
     

📝 Example:
“Students out of room longer than expected for food pickup-”

🏨 MAINTENANCE / ROOM ISSUES

✔ Ensure students are:

  • safe 
  • dressed appropriately 
  • out of the way
     

✔ Notify:

  • front desk 
  • Emergency Contact
     

✔ Document everything



🔄 ROOM CHANGES

✔ Notify / wake Emergency Contact
✔ Document change in report

📱 REPORTING SYSTEM (ICONS GUIDE)

🏢 Building → Self-Attestation  
▶️ Play → Begin Pre-Check  
👁️ View → See entered information  
➕ Report → 30-minute report entry  
⭕➕ Incident → Add incident  
⬛ Submit → Close report 

🧠 MOST IMPORTANT RULE

If something happens:
👉 Put it in the report


This includes:

  • missing groups 
  • noise issues 
  • delays 
  • student behavior
  • parent/chaperone visits 
  • staff interactions

🤒 IF YOU ARE SICK / EMERGENCY

✔ Notify Admin immediately
✔ Do NOT leave without communication 

📧 IF TOUR DIRECTOR DID NOT RECEIVE REPORTS

✔ Ask for their email
✔ Send it to Admin via Conversation


📝 Include:

  • Email address 
  • Confirmation it was requested
