Protecting Rooming List: A Comprehensive Guide

1. Confidentiality and Data Security

  • The rooming list is confidential and must be treated with the utmost discretion.


  • Avoid discussing or displaying any information from the rooming list in public areas or with unauthorized individuals.

2. Carrying the Rooming List

  • Keep the rooming list with you at all times while on duty during the assignment.


  • Store the list in a secure and discreet manner, such as a folder or digital device with password protection.


  • Ensure that the list is readily accessible in case of emergency or the need to contact students' rooms.

3. Preventing Unauthorized Access

  • Never leave the rooming list unattended in public spaces, such as hotel hallways, lobbies, or bathrooms.


  • Avoid discussing specific rooming details within earshot of unauthorized individuals.

4. End of Shift Procedures

If you will not be returning for the following night's assignment, follow these steps:


  • Hand the rooming list to the hotel front desk or slide the rooming list under the door of the group's emergency contact before leaving at the end of your shift.


  • Note the location of the rooming list on your final report entry.

5. Reporting Procedures

  • In the event of a misplaced or lost rooming list, immediately inform your area compliance monitor and the front desk clerk to initiate proper protocols for response and investigation.

  • Comply with all legal and regulatory requirements concerning data protection and student privacy.
